1. Stylist

A Stylist focuses on the visual design and overall look of your wedding. Their role often influences the other vendors you choose, making sure everything works together seamlessly.

 

Best time to book: after you’ve secured your venue so the design can be built from the ground up.

 

What they do: create mood boards, source hire items, liaise with florists and stationery designers, and complete on-the-day styling.

 

What to check: styling-only packages don’t usually cover planning tasks such as timelines or run sheets, so if you need more help you’ll need to book those services separately.

2. Planner

A Planner manages your wedding as a whole.

They’re the person to book first if you’re short on time or want an all-inclusive package.

 

What they do: organise venue tours, connect you with vendors, create your run sheet, manage logistics and budgets, and oversee everything from set up to pack down.

 

Why they matter: their role often spans months or even years of behind-the-scenes administration so you can focus on enjoying the fun parts of planning.

3. Coordinator

A Coordinator is your wedding-day support. They step in during the final lead-up and keep everything running smoothly on the day.

 

What they do: polish run sheets, confirm floor layouts, liaise with vendors, and coordinate your timeline from ceremony through to reception.

 

When to book: usually a few months before your wedding.

 

Budget tip: if a full Planner isn’t within your budget, a Coordinator is a great middle ground, especially if you’ve already planned most of the wedding yourself.

4. Venue Coordinator

Some venues include a Coordinator in their hire package. This role is specific to the venue and is different from an independent wedding Coordinator.

 

What they cover: table layouts, venue set up and logistics.

 

What they don’t: broader planning or styling tasks beyond the venue.

 

Tip: always check what is included, as this can vary from venue to venue.

5. Choosing the Right Role

Time check: How much time do you realistically have to plan? If you work full-time, have children or simply value your weekends, a Planner could be a great option.

 

Budget check: If a Planner isn’t possible, a Coordinator or Stylist package can still give you valuable support.

 

Needs list: Write down the areas you need help with, such as design, admin or on-the-day coordination.

 

Do your homework: Read packages carefully and ask for clarification so you can compare like with like.

 

Be upfront: Share your expectations, needs and budget when enquiring. Many vendors are happy to create a custom package.

 

Trust your team: Once you’ve booked, trust your vendors. They want your day to be a huge success too.
